Month-end close in 4 hours

Purchasing, stock and finance in a single ERP. The close that tied up the finance team for a week became one report.

The problem

The company ran three systems that did not talk to each other: purchasing in one tool, stock in another, finance in a third. Closing the books meant exporting all three into a spreadsheet and reconciling line by line — five working days of two people, every month, with a recurring gap between physical and book stock.

What we built

We built a single management core that absorbed purchasing, stock and finance, keeping the integration with the tax system already under contract. History from all three systems was migrated with sample verification before go-live. Entry became single: one incoming invoice feeds stock, payables and average cost in the same transaction.

What changed

The close dropped from five days to four hours, and the gap between physical and book stock stopped appearing at inventory. The two people in finance moved on to margin analysis, which nobody previously had time for.
